Workflow Maps Adds Contact Search and Multi-Workflow Journey Tracking
TL;DR
Agency users can now search contacts inside Workflow Maps to trace their enrollment history, timeline statuses, and step-level execution details across automations.

TL;DR
Agency users can now track an individual contact's path across multiple automations from inside Workflow Maps, viewing execution statuses and step details over the last 60 days. No immediate client action is required, but agency teams should note that access is currently restricted to agency-level roles.
Who this affects
HighLevel has not confirmed which subscription plans or sub-account configurations are affected. What is confirmed is role access: initial access is restricted strictly to agency users and agency admins. Standard account users cannot access this feature at this time.
What changed
HighLevel updated Workflow Maps to provide end-to-end visibility into contact progress across automations:
- Added a contact search tool within Workflow Maps that queries contacts by name, email, or phone number.
- Added a dedicated Workflows tab in Workflow Maps showing the contact's enrollment history across automations.
- Added a Timeline view that lists workflow runs, execution timestamps, and real-time execution statuses (finished, waiting, or in error).
- Added step-level inspection, allowing users to drill into the exact execution details of an individual run.
- Set contact journey history coverage to a rolling window of the last 60 days.
- Restricted initial access to agency users and agency admins.
HighLevel has not confirmed whether this feature replaces or breaks any existing logs, nor have they published specific plan gating or broader rollout status details.
Where to find it
Log in to HighLevel and navigate to Automation > Workflows > Workflow Maps. From there, locate the contact search tool to query a contact by name, email, or phone number and open their Workflows tab.
How agencies will use this
When troubleshooting an issue where a contact stopped receiving messages, an agency admin can open Workflow Maps and look up the contact using their email address. From the contact's Workflows tab, the admin reviews the multi-workflow enrollment history rather than opening several automations individually. The Timeline view highlights whether a specific run is finished, waiting, or in error, alongside the relevant timestamps. Clicking into a run opens the step-level inspection, showing the agency operator exactly which step executed or failed within the 60-day window.
Our take
HighLevel considers this a major update, and for once, the classification fits. Diagnosing cross-workflow handoffs previously forced operators to jump between separate execution logs to piece together what happened to a contact. Bringing cross-workflow enrollment history, status indicators, and step-level logs into a unified timeline view removes significant debugging friction. Keep in mind the hard limit: you only get 60 days of history, and team members without agency user or agency admin permissions cannot access it yet.
