Custom Appointment Statuses Added to HighLevel Calendars
TL;DR
HighLevel calendars now support custom appointment statuses grouped under six core scheduling states, managed via a Labs toggle.

TL;DR
HighLevel now supports custom appointment statuses organized under six built-in states, fully integrated with workflows and class calendars. You can test and enable this per location using a Labs toggle.
Who this affects
HighLevel has not confirmed whether this feature is restricted to specific plans or tiers. Any sub-account utilizing calendars can use this feature once enabled in Labs. If your agency operates fine with the default booking statuses, you can ignore this update.
What changed
- Added custom appointment statuses organized under six core built-in states: Pending, Active, Completed, No show, Cancelled, and Invalid.
- Added an Appointment status management page to add, rename, reorder, archive, and restore statuses inside each state.
- Existing default statuses (Unconfirmed, Confirmed, Showed, No Show, Cancelled, Invalid) remain mapped to their matching states.
- Implemented safe archiving, which removes archived statuses from future appointment pickers, preserves existing appointment records, and shows a workflow impact confirmation prompt.
- Custom statuses can now be selected directly in the New appointment modal, the appointment details panel, and the Appointment list view.
- Added individual attendee custom status tracking on Class Booking Calendars.
- Workflow triggers, actions, and filters now support custom statuses, with automatic renaming synced across workflows when a status name is edited.
- Added a Labs toggle to turn on Custom Appointment Statuses per location.
- Limits, plan gating, and the broader rollout timeline have not been confirmed by HighLevel.
Where to find it
Enable the feature first through the Labs section for your location. Once active, go to Calendars › Calendar Settings > Preferences › Appointment status to configure your statuses.
How agencies will use this
Agencies running complex scheduling operations can now mirror their exact fulfillment steps inside HighLevel calendars. In a sub-account, an admin can navigate to Calendars › Calendar Settings > Preferences › Appointment status and define specific sub-stages under the Active or Completed states.
When staff review bookings in the Appointment list view or the appointment details panel, they can assign those granular custom statuses directly to appointments or to individual attendees on Class Booking Calendars. Because workflow triggers, actions, and filters recognize these custom statuses, setting a status can immediately route the contact through tailored follow-up workflows without relying on separate custom fields or manual tagging.
Our take
This is a major quality-of-life update for operators who found the rigid default statuses limiting. Agencies have historically relied on messy workarounds like tags or custom fields to track appointment variations. Baking custom statuses directly into the calendar views, class bookings, and workflow engine makes scheduling operations significantly cleaner. Since it is currently behind a Labs toggle per location, you can test it on a single sub-account before introducing it across your entire client base.
