Dynamic Opportunity Forms: Conditional Fields Arrive

TL;DR

HighLevel released conditional fields for opportunity forms. Admins can now control field visibility and mandatory status based on deal attributes. No action is required unless you want to set up new rules.

Who this affects

Only Admins can create, edit, or delete these rules. These rules are configured separately for each sub-account. HighLevel has not confirmed who this affects in terms of plan level or specific user roles beyond Admins.

What changed

Opportunity forms can now adapt automatically based on each deal. Admins control which fields or folders appear or are required based on pipeline, stage, status, or other field values.

  • Rules can use single conditions or AND/OR logic.
  • Pipeline, pipeline stage, status, dropdown, radio, checkbox, and multi-select fields can trigger rules.
  • Individual fields or entire folders can be shown when conditions are met.
  • Visible fields can be made mandatory, preventing incomplete opportunities from being saved.
  • Rules apply across Add, Edit, and Bulk Edit flows on web and mobile.
  • Pipeline-specific rules can be managed directly from the Pipelines page.
  • Rules activate immediately after saving.
  • Fields and folders included in a Show rule remain hidden until conditions are met. Fields not in a Show rule remain visible.
  • If multiple rules apply, their mandatory requirements combine.
  • Validation applies to saves on web and mobile, but not to Public API or workflow-based updates.
  • Nothing changes until an Admin creates the first rule. HighLevel has not confirmed limits, plan gating, or rollout status.

Where to find it

Access is via Settings → Labs, then Settings → Custom Fields → Opportunity → Conditional Rules, or Settings → Opportunities & Pipelines.

How agencies will use this

Agencies can now tailor opportunity forms. For a 'Client Onboarding' pipeline, an agency might make certain fields mandatory only when an opportunity hits the 'Contract Signed' stage. This ensures crucial data like 'Service Agreement Link' is captured before moving to 'Implementation' without cluttering earlier stages.

Our take

This is a major update. It allows for much cleaner, more efficient data capture in opportunities by showing users only what's relevant at that moment. This reduces clutter and improves data quality, which is significant for agency operations and reporting.
