Workflows: New 'Associate Records' Action

Workflows: New 'Associate Records' Action

TL;DR

A new 'Associate Records' action automates linking CRM records like contacts, companies, and opportunities within workflows. No immediate action is required unless this capability is relevant to your current automation needs.

Who this affects

HighLevel has not confirmed who this affects. Agency owners and SaaS entrepreneurs who manage complex CRM data relationships through automation may find this useful. Those with simpler CRM structures or manual association processes may safely ignore it.

What changed

A new 'Associate Records' workflow action was introduced. This action automatically creates relationships between contacts, companies, opportunities, and custom objects. The action uses defined matching criteria to associate records. Users can select which object to associate and set matching criteria. Users can choose which matching record to associate and can add an association label.

HighLevel has not confirmed any limits or plan gating for this feature. The rollout status is also unknown.

Where to find it

This new functionality is located within HighLevel's Workflows. Users will find it as an available action when building or editing a workflow.

How agencies will use this

An agency might use this to streamline client onboarding. When a new contact is created from a lead form, a workflow could trigger. The 'Associate Records' action could then automatically link this new contact to an existing company record based on a matching domain in their email address, for example. Simultaneously, it could associate the new contact with an existing or newly created opportunity record for a specific service. This automation ensures all related CRM data points are connected without manual intervention, providing a complete view of the client relationship and sales process.

Our take

This is a standard update to HighLevel's workflow capabilities. While not a groundbreaking change, it provides a useful tool for automating CRM data hygiene and relationship management. For agencies with complex data models or a high volume of new leads requiring cross-object linking, this will save manual effort. For most, this is a minor update that offers incremental efficiency gains within the workflow builder. We have not been able to verify the significance beyond 'standard' as HighLevel has not provided the reason for this significance rating.
