Granular WhatsApp user permissions are now available. No immediate action is required as existing roles have default access.

Who this affects

This primarily affects agency owners and sub-account administrators who manage user access to WhatsApp features. It is relevant for anyone concerned with controlling specific actions related to WhatsApp templates, flows, business profiles, phone numbers, and integration settings within GoHighLevel. All agency and sub-account roles are granted these permissions by default, so initial impact for general users is minimal.

What changed

GoHighLevel has introduced a dedicated permission section for WhatsApp within the platform. This new section is located under Settings → Users → Edit → Roles & permissions. There are seven distinct, per-action permissions available specifically for WhatsApp functionality. These allow administrators to control various aspects:

  • Who can create and edit WhatsApp templates.
  • Who can delete WhatsApp templates.
  • Who can create and edit WhatsApp flows.
  • Who can delete or deprecate WhatsApp flows.
  • Who can update the WhatsApp business profile.
  • Who can add and manage WhatsApp phone numbers.
  • Who can disconnect the WhatsApp integration.

All seven of these new permissions are granted by default to existing agency owner, admin, and user roles, as well as sub-account admin and user roles. When a user lacks permission for a specific action, the corresponding controls in the WhatsApp settings screen will be disabled, accompanied by a tooltip explaining the restriction. The new permission section has also been translated for international users. Importantly, WhatsApp permissions follow the user across any sub-accounts they belong to. Changes made to these permissions are recorded in the audit logs at the agency level, specifically under the Users section. These WhatsApp permission toggles are visible under Users regardless of whether WhatsApp reselling is enabled for the agency. HighLevel has not confirmed who is affected, if this replaces or breaks anything, what limits or plan gating apply, or the rollout status of this feature.

The new granular WhatsApp permissions are located at Settings → Users → Edit → Roles & permissions within your GoHighLevel account. You will find a dedicated section for WhatsApp permissions there.

How agencies will use this

An agency can now establish fine-grained control over WhatsApp management for its sub-account users and internal team members. For example, an agency might have a dedicated WhatsApp content creator responsible for developing message templates and automation flows. The agency owner can grant this team member permissions to create and edit WhatsApp templates and create and edit WhatsApp flows, but restrict them from deleting WhatsApp templates or disconnecting the WhatsApp integration. Meanwhile, a client-facing support representative might only need access to view messages and respond, without the ability to alter the business profile or add phone numbers. This prevents accidental changes to critical WhatsApp infrastructure while allowing specific users to perform their required tasks efficiently. If a client sub-account has a user who needs to manage their own WhatsApp numbers but not interfere with templates, the agency admin can precisely configure that access, ensuring operational integrity.

This is a major update for agencies prioritizing security and operational control. The ability to precisely manage who can perform specific actions within WhatsApp minimizes risks and streamlines team workflows. It addresses a common pain point in larger teams or when granting clients partial access. While default permissions grant everyone full access initially, the capability to restrict is now present. Agencies should review their current user roles and sub-account setups to leverage these new controls effectively.
