Enhanced Notifications for Recurring Appointments

TL;DR

Go HighLevel improved notifications for recurring appointments. This update consolidates confirmations for standard recurring bookings and adds notifications for custom recurring appointments. No immediate action is required from agency owners.

Who this affects

Go HighLevel has not confirmed who this affects. Users of the native Go HighLevel calendar feature for booking recurring appointments may notice changes. Agencies with clients who frequently book or manage recurring appointments will see this update in action.

What changed

Go HighLevel enhanced notifications for recurring appointments. For default recurring appointments, the system now sends a single confirmation for the entire series. Previously, it sent one per occurrence.

Custom recurring appointments created within the Go HighLevel app now send a single confirmation or unconfirmed notification per booking for the whole series. These appointments previously did not send any notifications.

Reminders and follow-ups are now scheduled individually for each occurrence of custom recurring appointments. Before this change, reminders and follow-ups were not triggered for custom recurrences.

Custom recurring appointments now send reschedule and cancellation notifications. These notifications are based on user selection: 'This appointment', 'All appointments', or 'This and following'.

Notifications for custom recurrences can now display the recurrence pattern alongside the specific date and time. For example, 'October 14, 2026 12:00 PM (reoccurs every Thursday)'. Previously, only the specific date was shown.

Where to find it

HighLevel has not published the exact navigation path for this update. These changes will impact how notifications are sent for appointments scheduled using the built-in HighLevel calendar. Agencies will likely observe these changes within their 'Workflows' or 'Triggers' sections when setting up or reviewing appointment notification sequences.

How agencies will use this

Agencies can leverage this to provide a clearer, less cluttered communication experience for clients. For example, an agency managing a gym client's booking system sets up a 'Fitness Coaching' calendar in Go HighLevel. A client books a recurring personal training session every Tuesday and Thursday for three months. Before this update, the client might receive 24 separate confirmation emails for each session if they were custom recurring, or consolidated only for default recurring. Now, with custom recurring appointments, the client will receive one confirmation email covering the entire three-month series. This confirmation will clearly state the recurring pattern, such as 'Every Tuesday and Thursday at 10:00 AM'. If the client needs to reschedule a single session, the system now sends a notification specific to that change, or for all future sessions, depending on the client's selection. This reduces notification fatigue and improves clarity for both the gym client and the end-user.

Our take

This is a standard update to HighLevel's calendar and notification capabilities. It addresses an area of friction for users of recurring appointments, especially custom ones. The changes improve the reliability and clarity of communication for these bookings. This is a minor improvement, but a welcome one for agencies that frequently use recurring appointments in their client setups. There is no urgency to act on this update. Agencies should be aware of the changes if they receive questions from clients about recurring appointment notifications.
